Landlord self-assessment

15 questions · five management areas

Professional management is shown by repeatable processes and accessible evidence, not isolated good intentions. This assessment uses 15 questions to review the current strength of organisation, finance, tenant communication, maintenance and records for a German rental property.

Answer for one specific property and its actual current state. “Yes” means the process is not merely intended but applied regularly and supported by records.

Different from existing decision and WEG tests

This assessment reviews process maturity for a rented property. It does not decide whether you should appoint a manager; see “When is rental management worthwhile?” (German). It also does not assess condominium-association (WEG) management or recommend changing a WEG manager. The full scope of rental management is explained in “Managing a rental property” (German).

Quick review with category results

How structured is your rental management?

Choose the answer supported by your actual process and records. The result helps prioritise work; it is not a grade.

Ready for an honest current-state review?

Fifteen questions, about three minutes. No property or personal data is requested. You receive an overall indicator, five category scores and two prioritised next steps.

Answers remain only in browser memory during this page session.

No personal data, transmission or permanent storage. The assessment creates no user profile, automated individual decision or binding management or legal evaluation.

Interpretation

Evidence matters more than confidence

A “yes” is reliable only when the process works repeatedly and current records support it. One correct service-charge statement does not prove a stable annual process; one reachable contact does not replace cover arrangements.

Do not use the score to compare yourself broadly with other owners or providers. Repeat the same assessment for the same property after an improvement cycle.

  • Answer for one property and a defined period.
  • Run a separate assessment for each property.
  • Choose “partly” if the process depends on one person or chance.
  • Handle urgent defects, deadlines and payment problems regardless of the total.
  • Check results against the property file before prioritising measures.

Plausibility check

Records that can support an answer

No upload is requested. For your internal review, use current, property-specific and consistent evidence.

Organisation

Deadline calendar, case list, responsibility matrix, cover and emergency rules.

Finance

Rent accounts, open-item list, invoice files, billing records and owner overview.

Communication

Central inbox, documented requests, commitments, dates and closure notes.

Maintenance

Defect list, maintenance schedule, quotes, approvals, completion records and checked invoices.

Property file

Agreements, amendments, handover records, key and meter lists, and relevant correspondence.

Data protection

Access rule, retention and deletion plan, plus recorded removal of data no longer needed.

From insight to routine

A realistic start in four steps

Do not rebuild everything at once. Secure urgent cases and deadlines first, create one overview, then standardise the most frequent recurring processes.

1 · Secure risks

Identify urgent defects, overdue deadlines, arrears and unclear responsibilities immediately.

2 · Organise records

Bring together agreements, bills, open cases, keys, meters and technical records.

3 · Build two routines

For example, introduce monthly finance control and one central defect and communication list.

4 · Test effectiveness

After 30 days, check whether owners, deadlines and completion evidence actually work.

Next decision

Improve, delegate selected work or appoint full management?

An action area does not automatically require comprehensive management. Clear routines, suitable software, a provider for one task or qualified advice may close some gaps.

If time, distance, cover or recurring complexity keeps processes unstable, consider a clearly defined management scope. Focus on tasks, interfaces, authority, reporting and decisions retained by the owner.

Outcome

The assessment starts an improvement cycle

Good management is not a one-off state. It emerges when responsibilities, deadlines, evidence and learning loops work in everyday practice. Repeat the assessment after improvements and judge process stability, not just points.

General self-assessment, not an audit or legal, tax, data-protection, building or technical advice. The score is not scientifically validated and says nothing conclusive about liability, legal compliance, property condition or a manager’s suitability. Critical German-law matters require qualified review. Legal status: August 2026.

Frequently asked questions

FAQ about the landlord self-assessment

Which properties is the assessment for?

Rented residential and mixed-use properties whose ongoing rental management is being reviewed. Run it separately for each property.

Does it assess my personal suitability as a landlord?

No. It reviews selected management processes based on your answers. It does not test personality, expertise, legal compliance or individual decisions.

Is it an audit or certification?

No. There is no document review, inspection or independent verification. The result is a non-scientifically validated orientation for internal prioritisation.

How is the score calculated?

Each of 15 positive statements gets two points for regularly evidenced, one for partly and zero for no or unclear. Category scores and supporting records matter more than the total.

Does a low score mean I must appoint a manager?

No. It identifies process gaps, not one automatic solution. Own routines, software, specialist help, partial delegation or full management may be suitable depending on the cause.

Can I use it to assess an existing manager?

You can reflect on processes for a managed rental property, but it cannot establish performance or breach of duty. Scope and responsibility depend on the contract and facts.

Is it suitable for WEG condominium management?

No. WEG management concerns common property, resolutions and separate legal structures. This assessment focuses on rental relationships and rental property operations.

Are answers stored or transmitted?

No. They remain only in browser memory during the page session. No property, tenant or contact data is requested and no user profile is created.

How often should I repeat it?

After a defined improvement cycle, then periodically, for example annually or after a new property, manager change or process redesign.

What should I do about urgent issues?

Urgent defects, safety matters, active deadlines, arrears or material legal cases must not wait for the total result. Address them immediately by urgency and with suitable expertise.
