How the figure was calculated
For properties with up to nine units, the minimum fee is €300 net per month per property.
Each commercial unit is charged at 3.5% of its monthly rent including service charges, subject to a €30 net minimum. The higher of the property minimum and the sum of the commercial fees applies.
The amount shown is a calculated minimum under the published model, not a quotation. The actual fee may be higher depending on scope and workload.
Transparency
A minimum fee is not the final price
Small properties generate a recurring baseline workload regardless of whether they contain two or nine units. The published model therefore uses a minimum property fee for up to nine units. Commercial units are calculated individually; the higher total remains decisive.
The calculator reproduces this basis mathematically. Workload, service boundaries, contract term, onboarding and exceptional cases are shown separately instead of being converted into invented surcharges.

A monthly fee is comparable only when its underlying scope is clear. Ongoing rental management may include commercial, communication and technical coordination tasks; scope, frequency, authority and response routes must be defined in the contract.

Rent accounting, payment monitoring, billing records, outstanding items and owner reporting.
Tenant communication
Central handling of requests, documented queries, appointments and defined escalation routes.
Technical coordination
Recording and prioritising defects, commissioning and following up agreed contractor services.

Budgets, major works, contract strategy and other expressly reserved decisions remain with the owner.
Cost risks before signing
What often sits outside the ongoing fee
Additional services are not automatically included or excluded. The specific contract is decisive. Ensure the fee, trigger, approval route and evidence for every extra item are understandable.
New letting and re-letting
Marketing, viewings, selection, contract preparation and handover may be agreed separately.
Onboarding clean-up
Incomplete files, open entries, legacy cases and data migration can create one-off workload.
Legally intensive matters
Dunning, court or eviction proceedings and external legal advice must be separated.
Major technical measures
Refurbishment support, insurance claims, tenders and frequent site visits may trigger extra fees.

Is the result a binding quotation?
No. It is a calculated minimum under the published fee model. A quotation is only produced after the property, records, service scope and exceptional cases have been reviewed.
Why is there a minimum fee for up to nine units?
Small properties still create recurring baseline work for availability, accounting, communication, records and coordination. The minimum is therefore stated per managed property rather than as a fixed fee for each flat.
Why is no flat amount shown from ten units?
As unit numbers rise, use mix, property structure, service scope and economies of scale interact differently. The published model therefore provides for an individual quotation from ten total units.
How are commercial units calculated?
Each commercial unit is charged at 3.5% of its monthly rent including service charges, subject to a €30 net minimum. The individual amounts are added; the higher of that sum and the property minimum applies.
Does a high workload indicator automatically change the fee?
No. The indicator deliberately creates no flat surcharge. It flags matters to clarify in the quotation. Whether and how they affect the fee depends on the agreed service scope.
Which additional services may be charged separately?
Depending on the contract, re-letting, onboarding clean-up, legally intensive matters, major refurbishment or insurance claims and unusually frequent site visits may be charged separately.
Why are net and gross figures shown?
The model states the fee net; the tool also displays gross at 19% VAT for orientation. The quotation, invoice and applicable tax position remain decisive.
Can landlords pass management fees to residential tenants?
Under section 1(2) BetrKV, management costs are not operating costs for German residential tenancies. Commercial and other exceptional arrangements should be reviewed against the actual contract.
Is this the same as the landlord self-assessment?
No. This calculator considers the fee basis and workload drivers of professional management. The self-assessment uses 15 questions to examine the organisation of your current management processes.
